How PlayAreaOS keeps your venue's data safe
PlayAreaOS keeps your venue's records apart from every other venue on the platform, locks the counter screen between the people who use it, and gives every member of your team their own PIN, so a sale and a drawer count carry a name. Everything is copied off-site nightly, and the app travels only over HTTPS.
Can another venue ever see my records?
No. A family, a waiver, a sale, a shift, a payslip: every record in PlayAreaOS belongs to exactly one organisation, and that separation sits in the platform's foundations rather than in a filter someone could forget to apply. Your staff sign in to your organisation and see your venue. Branches live inside it, so a group keeps each site's cash, shifts and reports straight while still working from one customer list.
Who is standing at the counter?
The desk tablet is shared by whoever is on the desk, which is exactly where anonymous actions creep in. PlayAreaOS locks the screen between people, and each member of staff unlocks it as themselves, so the counter always knows who is standing at it.
Corrections are visible too. A refund is a real reversal that stays on the record for anyone to see, so the numbers are never quietly edited into looking right. The cash handling guide shows what that trail is worth on the evening a drawer does not balance.
What does each member of staff see?
Each person gets the part of the venue their job needs. A new starter can sell at your prices without being able to change them, and the person who counts the drawer is not automatically the person who can delete a sale. The roles and access page goes into it further.
What happens if something goes wrong with the data?
Every night a copy of your organisation's records is made and stored off-site, away from the system that holds the live data. It travels over an encrypted connection and is held by a storage provider that encrypts what it keeps. It runs from your first night live, with nothing for you to remember, and you can ask for a copy of your own data whenever you want it. More on the backups and migration page.
Is the connection secure?
Both playareaos.com and app.playareaos.com are served only over HTTPS, and both send HTTP Strict Transport Security headers, so a browser that has visited once refuses to load either site insecurely afterwards. The marketing site also tells browsers not to embed it elsewhere and not to guess at file types: ordinary hygiene that stops a whole class of attack before it starts.
What happens to my data if I stop paying or cancel?
Nothing dramatic. A reminder comes before the due date, and after it a three-day grace period keeps waivers and the POS working. If the account then pauses, every customer, waiver and sale stays exactly where you left it, and paying switches it all back on. If you cancel, you keep full access to the end of the period you have paid for, your records are kept for a year afterwards in case you come back, and nothing is charged after you cancel. Who is responsible for what?
Your venue is the data controller for its own customers and staff. PlayAreaOS holds that data on your behalf and uses it for nothing else. The privacy policy lists what the system holds, category by category.
Questions
Is my data kept separate from other venues using PlayAreaOS?
Yes. Every record belongs to one organisation and the separation is built into the platform itself, not applied as a filter. Your families, waivers, sales, shifts and payroll are yours alone, and branches within your organisation keep their own records straight.
Does each member of staff need their own way in?
Yes, and it is worth it. Staff share the counter device but not an identity: the screen locks between people and each person unlocks it as themselves, so the desk always shows who is standing at it and the record has a name on it.
Are backups automatic, and can I get a copy of my own data?
Backups run every night with nothing to set up. Each copy travels over an encrypted connection to storage away from the live system, held by a provider that encrypts what it stores. Every copy carries a checksum, and you can ask for a copy of your own data whenever you want it.
How do my records get across when I switch to PlayAreaOS?
Your family list, your product list and your opening balances come over from your old POS or your spreadsheets, and you go live on a day that suits your venue. The switching page walks through the whole move.
What happens to my records if I cancel?
You keep full access to the end of the period you have paid for, your data is kept for a year afterwards in case you come back, and nothing is charged after you cancel. If a payment is simply late, a three-day grace period keeps waivers and the POS working first.
