Practical guides for running a play area

Eighteen playbooks for the people who run the floor of a soft-play centre, indoor playground, trampoline park or family entertainment centre. Each one is about the job rather than about software: pricing a session and a party, designing a pass, running a floor at capacity, rostering to a ratio, finding a missing child, counting the drawer at close, and opening a venue from scratch.

Every guide gives a method that works whether or not you use PlayAreaOS. They open with the direct answer, they use formulas, checklists and worked examples instead of borrowed industry figures, and every illustrative number is labelled as one. Where a figure belongs to your regulator or your accountant, the guide says so and moves on. They link to the glossary for definitions, to the calculators when a formula is worth running on your own numbers, to the comparisons when the question is which approach rather than which product, and to the switching guide when it is how to move a venue you already run onto something new.

Pricing and revenue

  • How to price a soft play session

The cost-per-child-hour method, capacity and turns per day, session length against price, peak and off-peak, toddler and sibling rates, extensions versus grace, and testing a change against your own baseline.

  • Birthday party pricing

Package anatomy: base children, per-extra-child, room time, food and host. Then minimums, deposits and balance dates, priced add-ons, cancellation and no-show terms, and a worked costing from cost line to shelf price.

  • Multi-visit passes and memberships

Designing a pass that parents buy and use: utilisation, expiry, renewal with carry-over, punching at the POS, and the deferred-revenue caution that keeps a prepaid month from looking like profit.

  • The play area KPI glossary

The numbers a venue actually lives on, occupancy, session length, overstay, revenue per child, party attach, labour cost, defined plainly, with how to read each and where it shows up.

Running the floor

  • Capacity management

What a capacity figure means, why the working line sits under the ceiling, and the arithmetic tying occupancy, dwell time and arrivals per hour together. Plus the peak-hour moves worth agreeing before you need them.

  • Staff to child ratio

Take the ratio your regulator and insurer set, layer it by age and zone, forecast the children hour by hour, then roster with a formula that rounds up. The guide names no ratio; it shows how to run to yours.

  • Lost child procedure

The six-step sequence, the roles that run it, how to cover exits calmly, how to sweep a play frame, when to escalate, how to stand down and record, and how to drill it monthly.

  • Waiver management

What a waiver has to capture, why signing before arrival beats a clipboard at the door, one record per family, versioned wording, and producing a year-old signature in under a minute.

  • Overstay and time extensions

The ladder from a warning before the clock ends to a paid extension at the POS, plus wording for the desk and a tally sheet for measuring the rate.

  • Opening and closing checklist

Two short daily lists: the safety walk, float, shift, timer board and waiver stand that open a floor, and the last session, count, stock note and signed record that close it.

Parties and customers

  • Birthday party operations

The party chain end to end: what the enquiry must capture, the two dates that matter more than the price, the three messages that protect a booking, a minute-by-minute run sheet, turnaround between slots, and the five-minute debrief.

  • WhatsApp for play centres

Owning your own business profile, getting templates approved, the 24-hour window, and message ideas for welcomes, reminders, birthdays and feedback.

Staff and payroll

  • UAE WPS payroll for small venues

What WPS is and who must use it, what a SIF file contains, the monthly cycle, the rejections that come back most often, gratuity and its two service clocks, the air ticket as a lump, and the leave types behind a pay run.

Money and the POS

  • Play area VAT in the UAE

Where a UAE venue meets VAT: when registration applies, the price a parent sees, what a tax invoice carries, how party deposits are treated, and purchase VAT on supplies.

  • Cash handling and shift close

A drawer procedure staff can follow: the counted float, money that only moves with a reason, who closes, how to explain a difference, and the trail a Z-report leaves behind.

Starting and switching

  • How to open a soft play centre

Concept, equipment standards and where to find them, licensing, staffing, pricing, parties, the software stack, a launch checklist and the handful of numbers worth watching on day one.

  • Choosing play area software

The six jobs a venue needs software for, what to look for in each, fifteen questions to ask any vendor, and how to run a scripted trial before signing anything. No vendor list and no rankings.

  • Operating inside a mall

Turnover rent that makes your sales figures a contractual obligation, trading hours you do not set, footfall you borrow from the centre, and deliveries on the loading bay's clock.

  • Suppliers and purchasing

The back door: what a supplier record has to hold, why the price is agreed before the van arrives, receiving what actually turned up rather than what was ordered, matching the invoice against both, and what a case of socks really costs once delivery and free units are spread across it.

  • Migration & opening balances

How to move onto new software without losing a thing: export, run the check report, review, re-run safely, set opening balances, lock the cutover, and the reverse door.
