How many kids can be on the floor?

The maximum number of children allowed on your floor at once is a figure your own regulator sets, and it belongs on a wall rather than in a spreadsheet. This guide covers the other half of the problem: turning that ceiling into something you can run a Saturday against, with the arithmetic linking occupancy, dwell time and arrivals, and the moves that keep a busy floor flowing.

What a capacity figure actually is

Capacity is an instantaneous count: the number of children who may be inside the play space at one moment. It comes from fire, safety and licensing rules for your particular building, sometimes from the play frame manufacturer's own rating for the structure, and sometimes from a condition your insurer wrote into the policy. Where those sources differ, the lowest of them is your number. Record which body gave which figure, and the date, on the same sheet.

The distinction that saves the most confusion is this: capacity says nothing about a day's trade. A floor with a ceiling of forty can serve four hundred children in a day or eighty. The ceiling limits the stock of children in the building; the day's total depends entirely on how quickly that stock turns over.

Read this first. This guide sets no maximum and endorses none. The number of children your venue may hold is a matter for your own regulator and your insurer, and where they differ the stricter figure wins. Nothing here is safety or legal advice.

The working line sits under the ceiling

Running right on the legal maximum means running with everything to lose. Families arrive in bursts, a party lands as a single group of twenty, siblings get added at the door, and the moment a family leaves is never the moment the count catches up. So a venue that manages well keeps a second, lower figure: the working line it actually operates to, with the gap between the two treated as headroom rather than as waste.

Write the working line beside the ceiling on the same sheet, and make the size of the gap deliberate. At ten on a Tuesday morning it barely matters. At three on a Saturday, with a party due in and a queue at the door, it is the difference between a calm floor and a decision made under pressure by whoever happens to be on the desk.

Three numbers, and the arithmetic between them

Capacity management runs on three measures, and they are related by arithmetic rather than by judgement.

  • Occupancy rate = children on the floor ÷ capacity. Read now, it tells the desk whether to wave the next family through. Read as an hourly peak over a month, it tells the owner whether the venue is the right size for its market.
  • Average dwell time = total child-minutes on the floor ÷ children admitted. Not the session you sold, but the time actually spent. The two are rarely the same, and the difference is money.
  • Arrivals the floor can absorb = capacity ÷ average dwell time in hours.

That third formula is the one venues most often discover the hard way. A floor of forty children with an average stay of two hours can take twenty arrivals an hour and no more, however many people are behind the desk and however good the queue management is. Shorten the average stay to ninety minutes and the same forty places absorb roughly twenty-seven arrivals an hour. Capacity is a stock, arrivals are a flow, and dwell time is the exchange rate between them.

Counting honestly

All of that depends on a count that is true, and three habits keep it true.

  1. Count children on the floor, not tickets sold. A ticket sold at half past one for a two-hour session is a child on the floor from half past one, and a family that walked out at ten past three comes off the count at ten past three.
  2. Put groups on in one movement. A party of sixteen is sixteen children arriving at once, and a count updated child by child over ten minutes lags exactly when accuracy matters.
  3. Distrust the estimate made by eye. It is always low at the moment it matters, because the fullest floor is the hardest one to scan and the person scanning it is also serving somebody.

Overstay is the clog, not the door

A floor rarely fills because too many families arrived. It fills because too few left. Sessions that finished but never actually cleared are what turn a busy afternoon into a closed door, and every one of them is a place that was already paid for by somebody who is no longer buying.

Ten minutes of average overstay lengthens every stay by ten minutes, and by the arithmetic above that is a straight cut in how many families the floor can take in the hour those places are worth most. The fix is operational rather than confrontational: warn before the clock ends rather than after, make the ending visible to the team without a broadcast to the room, and give the desk one agreed sentence for the conversation. The peak-hour playbook

When the count closes on the working line, there are six moves worth having agreed in advance rather than invented at the counter.

  • Clear the finished sessions first. It is the fastest way to free places, and those places cost nothing.
  • Stagger admissions. Admit in small groups on a rhythm rather than whenever somebody reaches the front.
  • Give a named time at the door. "About twenty minutes, I will come and find you" holds a family. "We are full" sends them to the venue down the road.
  • Sell extra time only when the room exists. An extension sold into a full floor is a place sold twice.
  • Separate the youngest. A toddler session in its own space, or its own hour, removes the age mix that makes a crowded frame hardest to supervise.
  • Second person on the door. At the peak, the door is a job, not something the POS does between sales.

Parties, holidays and the shape of the day

Averages hide the problem. A booked party arrives as a block and lands on the floor in the same hour every week; school holidays flatten the peak across the whole day instead of concentrating it after school; term-time mornings are toddlers and are nowhere near the ceiling. Plan against the shape of a day rather than its average, and put booked parties into the hourly picture as soon as they are taken rather than on the morning they happen.

What to record, and what to read back

Four measures, recorded weekly, turn capacity from a worry into a plan.

  • Peak occupancy in each hour, and the single busiest quarter of an hour.
  • Average dwell time against the session length you sold.
  • Families asked to wait, and families who left rather than wait.
  • The hours where the working line was reached at all.

That third one is the number nobody records and everybody needs. Families turned away are the only evidence that the ceiling, rather than the marketing, is what limits a Saturday, and it is the figure that tells an owner whether the answer is a bigger floor, a shorter session or a different price. Who sets my venue's maximum capacity?

The play frame manufacturer may also rate the structure. Where the figures differ, the lowest one is your number. Ask in writing and keep the answer with its date.

What is the difference between capacity and how many children I can serve in a day?

Capacity is how many children may be inside at one moment. The day's total is that ceiling multiplied by how many times the floor turns over, which depends on session length and on how quickly finished sessions actually clear. Two venues with the same ceiling can serve very different numbers of families.

How many arrivals an hour can my floor absorb?

Divide your capacity by the average dwell time in hours. Forty places and a two-hour average stay is twenty arrivals an hour; the same forty places with a ninety-minute average absorb about twenty-seven. Shortening the real stay, rather than the sold session, is what raises the ceiling on a busy day.

Does it work on the tablet and screens we already own?
