Terms — DRAFT
These draft terms describe the agreement between a venue and PlayAreaOS in plain language: a subscription billed per organisation, monthly or yearly; a three-day grace period on a late payment; data kept for a year after cancellation; and a system in which every price, package, VAT rate and piece of wording is set by the venue itself.
What is the agreement?
A venue opens an organisation account in PlayAreaOS and subscribes to a bundle of tiles. The person who opens the account confirms they may act for the venue, and staff added to the organisation act on the venue's authority. These terms cover the venue's use of the service; the privacy policy covers the data inside it.
The subscription
PlayAreaOS is billed per organisation, monthly or yearly, in three bundles: Front Desk, Full Venue and Venue + Office. Prices are published in USD on the pricing page. Requests to upgrade, downgrade, add an extra tile or cancel are sent from the subscription page inside the app and actioned by the PlayAreaOS team. Nothing is charged after you cancel.
Late payments and pausing
You are reminded before a payment is due. After the due date there is a three-day grace period in which waivers and the POS keep working. If the account pauses after that, nothing is deleted: every customer, waiver and sale stays exactly where it was, and paying switches everything back on.
Cancelling
You keep full access until the end of the period you have paid for. Your data is then kept for a year in case you return, and is deleted after that unless the law requires otherwise or you ask for it sooner. If you want a copy of your records before or after cancelling, email info@playareaos.com.
What the venue is responsible for
- Your prices, packages, VAT and currency. Everything the POS charges, and the VAT rate it applies, is yours to determine and yours to get right.
- Your waiver wording. The waiver is your document, signed between your venue and the family. PlayAreaOS collects the signature and keeps the versioned record; whether the wording is right for your venue is between you and your own legal advisor.
- Your staff. Which people have logins, which roles they hold, and keeping PINs personal to the person they belong to.
- Your data. Having the right to hold the customer, staff and supplier details that go into your account, and honouring a family's request to stop receiving messages.
- Your WhatsApp profile. Each venue owns its own WhatsApp business profile and templates and is responsible for its standing with the messaging provider.
- Your AI key, for WhatsApp. The WhatsApp auto-reply runs on an AI key you supply, and its usage and cost are between you and that provider. Reading a photographed supplier bill is different: that runs on PlayAreaOS's own key, so the bill image is sent to the AI provider PlayAreaOS uses, under PlayAreaOS's account rather than yours.
- Payroll inputs. The WPS bank file and the MOHRE SIF are generated from the salaries, deductions and details held in your account. Checking them and filing them with your bank and the authorities is done by you.
What PlayAreaOS is responsible for
- Running the service in the browser, with nothing for you to install, and keeping the POS able to sell through a dropped connection and sync afterwards.
- Keeping each organisation's records apart from every other organisation's.
- Making an off-site copy of your records every night, sent over an encrypted connection to a storage provider that encrypts what it keeps, and giving you a way to get a copy of your own data.
- Serving the app and this site only over HTTPS.
- Answering email at info@playareaos.com within business days.
Availability is provided on a best-efforts basis: the offline POS and the nightly backups exist because interruptions happen. Where something goes wrong on our side, the team tells the affected venues by email.
The limits of this agreement
The POS records how a sale was paid; the card transaction itself remains a matter between you, your bank and your own terminal. PlayAreaOS is software for running a venue, not a source of legal, tax or payroll advice, and filing WPS or SIF submissions with your bank and the authorities is your responsibility. Acceptable use
Use the service lawfully and for running your venue. Do not attempt to reach another organisation's data, share a personal PIN, or use the messaging tiles to contact families who have asked you to stop. PlayAreaOS may suspend an account that does these things, and will say why.
Changes to these terms
When these terms change, the account holder is told by email and this page is updated with the change and its date. Continuing to use the service after that date means accepting the changed terms.
Governing law
These terms are governed by the laws of the United Arab Emirates, and disputes are subject to the courts of the UAE.

Is there a minimum term?

Who owns the data in my account?
Your venue does. PlayAreaOS processes it on your behalf, keeps it apart from every other organisation, backs it up off-site every night, and keeps it for a year after you cancel in case you come back.
Does PlayAreaOS check my waiver wording?
