Party deposit

A party deposit is the part of a birthday party's price that a family pays when they book, holding the date until the balance is settled. Whether it comes back on cancellation depends on the policy the venue writes. What does a party deposit secure?

Three things, in the order a venue feels them. The slot: a Saturday party room can be sold once. The committed costs: food is ordered and a host is rostered days ahead, and both are spent whether or not the family arrives. The commitment itself: a family who has paid something has a stake in the date. Is a party deposit refundable?

Only if the venue's policy says so. Three policies are worth writing down and choosing between: refund up to a cut-off a set number of days ahead and keep the money after it; never return cash but move the deposit to a new date once; or keep it in every case except the venue's own cancellation. Put it where the family will read it: the booking form, the confirmation and the reminder. Consumer rules on advance payments vary between countries; check yours before making a deposit non-refundable.

When is the balance paid?

The balance is the package total less the deposit, plus anything added after booking. Two balance dates are worth weighing: on the day, at the POS, once the final headcount is known; or some days ahead of the party, so the room is paid for before the food is ordered. Does VAT fall on the deposit or on the party?

A deposit is money received before the party happens, and tax authorities have their own rules for advance payments. Ask your accountant and the authority you file with. What the venue controls is the record: quote the package on the same inclusive or exclusive basis as everything else, record the deposit against the booking on the day it is paid, and refund through the same POS so the tax reverses with the money. Questions

Is a party deposit the same as a booking fee?

No, and the difference matters on the day. A deposit is part of the package price and comes off the balance the family pays. A booking fee is charged on top of the price and is usually kept whatever happens. Name yours correctly on the form, because a family who paid something called a deposit will expect it to count towards the total.

Should the deposit be a fixed sum or a share of the total?

Either works if the rule is written down. A share scales with the package, so a bigger party carries a bigger commitment; a fixed sum is easier to quote on the phone and easier for a family to remember. What matters more than the choice is that a parent hears the same number on the phone, on the form and at the desk.

What happens to the deposit when a party is cancelled?

Whatever the written policy says: returned, moved to a new date or kept. If it is returned, refund it through the same POS and against the same booking, so the record and the tax on it reverse together. The policy itself is yours to write and belongs on the form before anyone pays.

Can I move a diary full of booked parties into a new system?

Customers, your catalogue and outstanding balances come in from a spreadsheet or your current POS's export, and every import produces a check report you read before anything goes live, which is where a deposit recorded against the wrong date is caught.
